Administrative Assistant

JOB DESCRIPTION:

Omnitron Systems Technology, an Irvine-based manufacturer of fiber optic networking technology, is seeking an Administrative Assistant. This position performs basic and routine administrative and support duties under direct supervision.

Responsibilities:

  • Assist executive and office personnel with scheduling and coordinating travel and events including all flights, hotels and other logistical reservations
  • Assist with administration and documentation control
  • Quote, buy and expedite material as needed
  • Answer phones, type, copy as required
  • Assist with accounting and other administrative functions as needed
  • All other office duties deemed necessary by supervisor
  • Compose routine correspondence or reports on behalf of managerial and professional staff
  • Coordination of meetings and events as appropriate
  • Able to work in a fast paced work environment with frequent interruptions, maintaining the highest level of accuracy and attention to detail at all times
  • Excellent secretarial and organizational skills, composition, grammar, spelling, and punctuation skills
  • Proficient in computer operation, MS-Office, Word, Excel, and PowerPoint software
  • Must be able to draft reports, letters, minutes, and other materials
  • Personable, work collaboratively with others, have positive attitude
  • Be able to multi-task
  • Able to act in a professional manner and demonstrate excellent public relations skills
  • Gathers, assembles, reviews and analyzes information from a variety of sources to coordinate day to day affairs
  • Performs additional administrative tasks as required
  • Basic office support and reception duties
  • Answer, direct and screen calls using a business telephone system
  • Keep the office organized, clean and in working order
  • Coordinate general office services and outside services
  • Run errands as required

Organization Relationships

The Administrative Assistant reports to CEO. Duties performed by this position are in support of all company departments.

 

JOB REQUIRMENTS

Education and Training

Experience – One to two years in business office support. Education equivalent to completion of the twelfth grade (High school diploma or GED). Completion of clerical or business course work may be substituted for the required experience.

Technical Requirements

  • Skill in use of personal computers including Microsoft Excel, Word and PowerPoint
  • Knowledge of computerized information systems used in financial or accounting applications
  • Database management skills preferred
  • Ability to create, compose and edit written materials
  • Demonstrated ability to maintain confidentiality
  • Ability to communicate effectively, both orally and in writing
